Annually, Sweetser's directors, officers, non-board committee members and key employees receive a copy of the policy and the annual disclosure form. Disclosures of financial interest and other reportable circumstances are completed and submitted by all appropriate parties. The forms are reviewed by the Chief Financial Officer and the Finance Director to identify all reportable disclosures. In addition, anyone completing the form is apprised of their responsibility to update their circumstances throughout the year. This process is renewed annually in accordance with the conflict of interest policy. It is expected that those with conflicts of interest do not participate in the consideration of proposed transactions or matters; consideration of such is made without the participation of the affected person and such proceedings are appropriately documented.
