All financials are reviewed and the Board members conduct site visits (virtual or in person) at the grantee agency. Proof of 501(C)3 status is required. The grantee agency is a US Organization and therefore all funds are used in the US. Mid-year and year-end reports are required for the one year grant period to verify proper use of funds. The reports are reviewed by the allocations committee and follow-up is conducted as needed. Grants to individuals for college are paid directly to the college or university the student is attending. Form 990, Part VI, Section A, line 1a The Executive Committee is composed of the officers of the corporation, the past-President, and the President elect, as well as a Secretary and Treasurer. The Executive Committee shall be responsible for the Board of Directors with full power to act in the operation and management of the corporation if an urgent matter arises between meetings of the Board. Form 990, Part VI, Section B, line 11b The Form 990 is reviewed by the governing body before it is filed. Form 990, Part VI, Section B, line 12c To demonstrate to the community the integrity of the WHWF allocation process, board members and the Executive Director must provide written disclosure of any conflict of interest with organizations that have applied for financial assistance to the WHWF. Such conflict can be described as involvement with the organization, its board, the program, or personnel. Board members are expected to refrain from participation in allocation deliberations as it relates to a conflict. A possible exception is when a board member has information pertaining to the organization or program that the board deems essential to decision-making. Board meeting minutes will serve as a record of any board member being determined as unqualified to participate in funding decisions. Conflict of interest statements are kept on file and updated annually or sooner as needed. Form 990, Part VI, Section B, line 15 Executive Director compensation is reviewed and discussed by the Board of Directors on an annual basis during the budgeting process. The review includes analysis of any available market data to ensure a competitive compensation package is offered. Form 990, Part VI, Section C, line 19 The organization makes it governing documents, conflict of interest policy and financial statements available to the public upon request.
